Title: How to zip and unzip a compressed file (And Why)

When we send the materials of our project report samples to our clients, there have been some calls from a number of them to show how to extract the report sample documents from the zipped or compressed files we sent to them.
So we will be dedicating this post to show how one can use zipped or compressed file and why we need to use them.
WHAT IS A ZIPPED FILE?
This is a compressed file that can contain one or more files and / or folders.
When a file is compressed it ends with the extension ".zip" and is usually represented on the computer using a graphic icon that shows a folder with a zip drawn on it as shown in the images below:

Note: When a file, files or folders have been compressed, they are called zipped files or compressed files (since the contents of the file have really been "compressed" and packed together)
WHY DO WE NEED TO ZIP FILES?
There a number of reasons whys files are zipped.
This can include the following:
1.They can be used to compressed file documents to smaller size so that they are easy to send over the internet (Especially when using our slow network!)
2.They can be used to zip and compress all the contents in a folder (or multiple files) into a single file for sending over the internet at once without having to send each of the files individually
HOW TO ZIP A FILE?
There are several ways to zip a file using either the third party software or the inbuilt utility that come with the computer system.
However, we shall only look at how to zip a file using the inbuilt utility program that comes with the computer system for the Windows Operating System
Create a folder and copy the files that you want to compress into that folder. Below is our folder containing the files that we want to compress.
To zip the contents of a folder, select the folder and right click your mouse.
From the drop down menu option list select the option "Send to" and then select the option "Compress (Zipped) Folder" as shown in the image below:
Then you will have a zip file with the same name as the folder generated, appearing next to the folder as shown below.
HOW TO UNZIP A FILE
There are several ways to unzip a file using either the third party software or the inbuilt utility that come with the computer system.
However, we shall only look at how to unzip a file using the inbuilt utility program that comes with the computer system for the Windows Operating System
To unzip the contents of a folder, select the folder and right click. From the menu list select the option "Extract All" as shown below
A window will appear as shown below. Click on the "Extract" button.
Then you will see your original folder with the files inside created next to the zipped file.
That is all.
So when we send you a sample report material in a zipped form, we are sure you will know just what to do!
